Position Overview

The Accounting Specialist supports VISPO’s and ECFiber’s financial operations through accurate, compliant, and timely management of all Accounts Payable (AP) and Accounts Receivable (AR) activities for both entities. This position ensures the integrity of financial transactions and records, helps maintain vendor and customer relationships, and supports leadership with reporting and reconciliation. The ideal candidate is a detail-oriented, organized professional who values accuracy, transparency, and teamwork in a fast-growing Vermont organization.

Essential Duties & Responsibilities

Accounts Payable (AP) 

  • Process vendor invoices and purchase orders in compliance with VISPO and ECFiber’s policies and Vermont recordkeeping laws.
  • Verify appropriate authorization, coding, and documentation before entry and payment.
  • Maintain vendor records including but not limited to W-9, certificates of business insurance and 1099 documentation and year-end filings in accordance with IRS and Vermont tax reporting requirements.

Accounts Receivable (AR) 

  • Communicate with customers regarding payment/billing discrepancies or inquiries.
  • Prepare and issue accurate customer invoices, statements, and payment reminders as needed.
  • Record incoming payments and apply receipts to the correct accounts.
  • Monitor outstanding balances, open credits, and assist with collections following fair and lawful practices.
  • Manage customer payment processing (checks, ACH, credit cards) and reconcile customer accounts as needed.

General Accounting & Compliance 

  • Assist with month-end close and reconciliations.
  • Maintain all accounting records in compliance with Generally Accepted Accounting Principles (GAAP)
  • Support external audits, PEO reporting, and grant-related financial documentation.
  • Assist and comply with internal controls, expense tracking, and budget preparation.
  • Ensure confidentiality of sensitive financial, customer, personal and personnel information as required under Vermont’s Data Privacy and Confidentiality standards and company policy.

Qualifications

Education & Experience: 

  • Associate or Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Minimum of 2–4 years of accounting experience with AP and AR responsibilities.
  • Experience working within a Vermont-based organization, nonprofit, or small business environment as a plus.

Knowledge, Skills, and Abilities: 

  • Working knowledge of GAAP and standard accounting procedures.
  • Proficiency in QuickBooks or equivalent accounting software.
  • Strong Excel/Microsoft 365 and data entry accuracy.
  • Excellent communication and interpersonal skills.
  • Strong organizational and problem-solving abilities.
  • Detail oriented with the ability to see the bigger picture
  • Ability to handle confidential information in accordance with Vermont’s Personnel File Access and Privacy laws (21 V.S.A. § 495c).

Compensation & Benefits 

$60K – $65K annually, based upon qualifications.

Work Environment & Schedule 

  • Hybrid work model: remote flexibility with in-office days in Vermont.

  • Occasional extended hours may be required during fiscal closing periods (overtime compensated).
